JOB POSTING: Front Desk Coordinator

Temporary | Full-Time | Victoria Office 

Together Against Poverty Society is hiring a full-time, temporary position covering a maternity leave for a Front Desk Coordinator located in our Victoria office. The deadline for applications is Sunday, April 21, 2024.

Located in Victoria on the territory of the Lək̓ʷəŋən (Lekwungen) peoples, TAPS is one of the largest anti-poverty organizations on Vancouver Island. TAPS specializes in face-to-face legal advocacy services. Job Description (Nature of the Position)

The primary job responsibilities for this position are as follows:

1.        Recruit, train, and coordinate volunteers to operate the TAPS front desk;

2.       Ensure proper coverage of the front desk, and maintain the transfer of information between all front desk operators;

3.       Operate the TAPS front desk when volunteers are unavailable, interacting with new and existing clients by phone and in-person, and connecting them to the appropriate staff member or volunteer;

4.      Organize and facilitate volunteer recognition programs and events;

5.       Liaise with other organizations in Greater Victoria that provide services to people living in poverty;

6.       Maintain an up-to-date catalogue of appropriate referrals for clients seeking assistance with matters outside of TAPS’ scope;

7.       On occasion draft literary pieces for our newsletter Taproot and our website;

8.       Help maintain records and statistics for reporting to funders about the program; and

9.       Assist the rest of staff with the general duties of the office, which are shared by all staff (for example: kitchen cleanliness, front desk cover, TAPS fundraising events).

Required Qualifications, Knowledge, Education, and Skills

There are no essential qualifications applicants must have for this position, but the successful applicant should have some experience with the following:  

1.        Experience working with or coordinating volunteers; 

2.       Effective written and oral communication skills;

3.       General computer competency; and

4.      Strong organizational skills.

Hours of Work and Compensation​

​This position is full-time (5 days/week or 35 hours/week). TAPS staff are members of the Canadian Union of Public Employees, Local 374, and this position is covered by the TAPS Collective Agreement.

Under the TAPS collective agreement, this position pays $30.50/hr, with a three-month probationary period. Employees work a 7-hour work day with an unpaid 1-hr lunch and paid breaks. TAPS is open from 9-4, and closed from 12-1 for lunch. Start and end time of the work day are flexible as long as the open office hours are covered.

Start Date and Duration of Position

The start date for the position is as soon as possible. The position will run for one year to cover the period of the current staff person’s maternity/parental leave.  

Sick/Vacation Time

Full-time staff are given 15 paid sick days and 20 paid vacation days annually, in addition to a 4-day paid winter holiday closure.
